How to sign a PDF without printing it
No printer, no scanner, no problem. How to put your signature on a PDF from a computer or phone and what an electronic signature does and doesn’t prove.
The old routine was print, sign, scan, email and it assumed you owned a printer and a scanner and were near them. You don’t need either to sign a PDF and the result is usually cleaner than a scan.
Three ways to make your signature
Draw it. With a finger on a phone or tablet or a stylus, this looks most like your pen signature. With a mouse or trackpad it is harder; take a couple of goes.
Type it. Your name in a handwriting-style font. Quick, legible and accepted for most everyday forms.
Upload a photo of it. Sign a sheet of white paper in dark ink, photograph it flat and the paper is removed so only the ink remains. This gives the most authentic result and you only have to do it once.
Placing it on the page
Sign PDF shows each page of your document. Place the signature, drag it onto the line and size it to fit. You can place it on as many pages as you need, such as initials on every page and a full signature at the end, then download the signed PDF. The document never leaves your device, which matters for contracts, leases and anything with personal details in it. Most signing services upload the document to their servers and ask for your email address first.
Other free options
Adobe Acrobat Reader has a free Fill and Sign feature. Preview on a Mac can add a signature drawn on the trackpad or photographed with the camera. Both work well; they need the program installed and, for Acrobat, sometimes an account.
What an electronic signature proves
An electronic signature shows that you agreed, which is what most forms need. It doesn’t prove the document wasn’t changed after signing. If a document needs that guarantee, the other party will usually send it through a signing service that applies a certificate-based digital signature and will say so.
Before you send it
Open the signed PDF and check every page. If the file is too large to email, see why a PDF won’t get smaller. And if you’re sending a copy with some details hidden, redact it properly: a black box drawn over text in a PDF often leaves the text underneath.

Is an electronic signature legally valid?
In many countries, including the US under the ESIGN Act and the EU under eIDAS, electronic signatures are generally recognised for everyday agreements. Some documents, such as wills and certain property or court documents, have stricter rules. Check with whoever asked for the signature. This is general information, not legal advice.
What is the difference between an electronic and a digital signature?
An electronic signature is any sign of agreement, commonly an image of your signature on the document. A digital signature is a cryptographic seal from a certificate that proves who signed and that nothing changed afterwards. Most requests to sign and return a PDF want the first.
Do I need to add the date?
If the form has a date field, fill it. You can type the date as text and place it next to your signature the same way.
Can someone copy my signature from the PDF?
An image on a page can be copied out by anyone determined. Flattening the signed PDF into images makes that harder, at the cost of searchable text. The same is true of a scanned paper signature.
